The Evening Supervisor/Office Manager, under the direction of the Access Services Manager, provides skilled support to operations of the University Library, primarily in the evenings; Work hours: Sunday – Thursday (3 pm – 12 am), exceptions to the schedule are expected for holidays and university-related breaks and scheduling.
Position is on-site at the Stephenville, Texas campus. Must be able to work remotely at the request of the University.
Responsibilities:
40% Manages evening operations of the circulation department ensuring a smooth workflow and adherence to policies and procedures:
Hires, supervises, trains, schedules, and evaluates students assigned to the circulation department to ensure patron demands are met.
Organizes and prioritizes work for self, staff, and student assistants, adapting to changes in workflow, as necessary.
Communicates on a day-to-day basis with the Access Services team and student workers to keep up on information pertinent to circulation operations.
Routinely posts department updates and news to the circulation department blog.
Maintains comprehensive knowledge of all circulation operations and policies, databases, and equipment.
Maintains statistics relevant to the department, including reference, stacks maintenance, and meeting rooms.
Enforces regulations and policies concerning the use of library materials in a fair and professional manner.
Assesses, organizes, and resolves training needs of student workers and staff by communicating effectively, creating on-going training opportunities, and regularly reviewing policies and procedures.
Works circulation desk in the absence of student assistants.
30% Responsible for the maintenance of the library's upper and lower-level stacks:
Supervises students assigned to maintain the book stacks and re-shelve library materials.
Checks accuracy and productivity of students on an ongoing basis.
Trains and assigns stack maintenance to Circulation student workers by establishing priorities, monitoring quality, and assessing workflow.
Informs the Access Services Manager of section problems and recommends workable solutions.
Performs regular inventory, including scanning, checking reports, looking for missed items, and updating library personnel on needed updates.
Oversees monthly missing item report, including searching and updating item statuses. Works closely with the Cataloging Department on proper processes for declaring materials missing or lost according to current Collection Development policies.
15% Responsible for collection and deposit of library monies:
Responsible for all library cash deposits, and ensures compliance to guidelines established by Library, University, A&M System, and State.
Responsible for maintenance of cash drawer including daily balancing, keeping adequate change, and preparing deposits.
Responsible for matching receipts and monies collected at the circulation desk with the aid of Sirsi payment reports.
5% Provide reference service to users, including some evening and weekend reference duty:
Assists and instructs patrons with the use of databases, reference tools, and other library equipment.
Maintains working knowledge of library equipment and troubleshoots as needed.
Makes critical decisions regarding the operation of the library using calm, logical approaches to problems and emergencies and contacting appropriate emergency University/Library personnel as necessary and ensuring the security of the facility.
Assists other library departments when staffing, and patron demand requires.
Performs other duties as assigned as well as maintaining professional development through membership on university committees and professional organizations, attendance at workshops, and community activities
10% Library meeting rooms:
Reserves and coordinates meeting room reservations, including preparing weekly schedules for distribution to all service desks and designated personnel.
Handles all notifications related to room reservations including reservation confirmations and other email communication.
Overseas equipment usage and assists with technical difficulties when needed.
Ensures meeting room facilities are clean and well-organized for each reservation.
Maintains statistics relevant to reservations, guests, and equipment used in designated meeting rooms.
Enforces regulations and policies concerning the use of the library meeting rooms, including sign-in/sign-out procedures, eligibility of room availability, and problem-solving.
Education and Experience:
Bachelors degree or equivalent combination of education and experience.
Four years of related experience in a public, academic, or specialized library or archive, or four years of general clerical or office experience.
Knowledge, Skills, and Abilities:
Knowledge of word processing and spreadsheet applications.
Knowledge of email and difficult and varied library online research database searches and/or processing.
Ability to multitask and work cooperatively with others. Basic keyboarding skills.
